System Reporting on Late Payment Penalty Fees

Late Payment Fees are taken into account for all system reporting, and values in Dashboard charts and in the Invoices table are dynamically updated to include penalty fees when they are triggered.

 

The following three Dashboard charts update to take penalties into account:

The Invoices table, on the manage invoices tab, uses the Amount, Incentive/Penalty and Balance columns to clearly indicate when penalties are applied to a Past Due invoice.
NOTE: Penalties are typically applied a number of days after an invoice becomes “Past Due” so it is possible to have an invoice with a “Past Due” Status and a penalty fee that does not yet appear in the table, as in the highlighted row below..

The following logic is used to determine penalty values in the Invoices table:

For example, if an invoice has a $9 penalty for remaining unpaid for 5 days after the due date, the following will occur:

REPORTING ON LATE PAYMENT FEES COLLECTED


As you evaluate penalties and penalty grace periods, it is helpful to know how much revenue you are generating from these fees. Follow the steps below to determine the total amount of Late Payment Fees collected over any given time period.

  • Filter the Invoices table for the time period you want to cover. (See Filter by Date Range.)

  • Set the Invoices table Status filter to display only Paid invoices. (See Filter by Invoice Status.)

  • Export the Invoices table. (See Exporting Invoice History.)

  • Open the export file in Excel (it will be a .csv file), and locate the Late Payment Fee column. (Values in this column indicate the exact dollar amount of the fee collected, whether the penalty was programmed as a flat rate or as a percentage.)

  • Sum the Late Payment Fee column. This value is the total in penalty fees you collected in the selected time period.
